Founded in 1998, Doyle Kelly & Company
emerged from the Practice of “Michael
J. Doyle & Company”. A 2 partner
practice with 12 staff, 5 of which are Qualified
Accountants, Doyle Kelly is the largest
Accountancy Practice in Drogheda, Co. Louth.
Michael Doyle and Martin Kelly are members
of the Institute of Certified Public Accountants
in Ireland and Registered Auditors.
Key Issues - Well established firm
in need of Communication Means
Doyle Kelly and Company required an excellent
communication flow throughout their practice.
As with many similar firms, internal systems
have been developed piecemeal over the years.
As a consequence much information was not
available centrally and the two partners
were not fully aware of the overall status
of clients and jobs.
Martin wanted a system that would enhance
the business they had already achieved,
not to completely change their core service
or their foundations.
Adapting quickly to a new system was a main
concern for staff members. The practice
needed a program to work with the staff,
and not to restrict staff members too much
in how they went abouttheir daily routine.
Making
the Decision
After reviewing their existing systems,
both Martin & Michael realised
that their in-house systems needed
an overhaul. Making the decision for
DRIVE was not difficult. They carried
out a search of the software market
and found that DRIVE had all the required
characteristics of a cost-effective
solution. They knew they would obtain
a complete solution to the management
of the practice, which would allow
them to integrate all of their requirements,
all at a competitive price.

The DRIVE system has become the core technology
around which the practice now grows. This

1. Communication Management
Partner/ Management information is readily
available and relevant. This is facilitated
through the Client database in DRIVE. All
information on a client can be accessed from
the one area. The firm logs e-mails, phone
calls (which update the timesheets automatically
as required), records faxes, manages Word
& scanned documents and sends SMS text
messages. They also make memoranda on the
status of prospects, record and be reminded
about diary appointments (tasks, meetings
& events) and have an option to update
timesheets automatically.
2. Staff Buy In
Martin and his staff were sanguine about the
progress made: “We knew when we invested
in DRIVE that we would also be investing in
our time. However, by following a well-conceived
implementation plan, the benefits started
to accrue very quickly. Although sceptical
at first our staff are now its biggest fan.
Access to key information is no longer restricted
as with spreadsheets, but is centralised and
fully indexed for all to see. Of course we
have also implemented a strictly controlled
regime of access rights, so that now everyone
has access to all and only the information
they need to see in one place.”

3. Data Mining
Data mining has allowed Martin to target their
services among their clients. This has resulted
in better contact with and more content clients,
thus increasing business. Doyle Kelly use
the mail merging facilities where they can
send letters and e-mails to all in their database.
They have enhanced their client relationships,
developing new business with clients and marketing
the many skills of their staff to new prospects.
4. Time & Billing
